<p>Ensure that Suppliers invoices are received, registered, checked and verified, allocated, matched, certified, and approved correctly and promptly.</p>

<p>Validate Suppliers invoices in the oracle payables system after ensuring that invoices are duly checked and approved according to the company s procedures and limits of authority.</p>

<p>Liaise with Treasury department to ensure that payments are made on time without damaging the company s image or causing financial loss, and that contractual obligations are met.</p>
</li>
<li>
<p>Ensure that the accounts payable accrual account is reconciled, and necessary clearance action is taken.</p>
</li>
<li>
<p>Ensure accounts are opened, amended and closed correctly for suppliers.</p>
</li>
<li>
<p>Ensure that trade suppliers, related parties and employees control accounts are reconciled monthly and the outstanding items in the reconciliation are cleared promptly.</p>
</li>
<li>
<p>Ensure that the Suppliers statement of accounts is reconciled with the balances as per Gulf Air s suppliers' ledgers monthly and ensure that the outstanding items in the reconciliations are cleared promptly.</p>
</li>
<li>
<p>Reconcile the prepayment account for trade suppliers, related parties and employees monthly and ensure clearance of the outstanding items in the reconciliations.</p>
</li>
<li>
<p>Reconcile VAT accounts monthly and ensure that all invoices sent to FCs and the outstanding items in the reconciliations are cleared promptly.</p>
</li>
<li>
<p>Ensure that all relevant documents relating to suppliers are filed and secured.</p>
</li>
<li>
<p>Maintain Suppliers Master file in the Oracle payables system.</p>
</li>
<li>
<p>Provide support to accounts payable system users, assist in training, and resolve daily queries.</p>
</li>
<li>
<p>Ensure that correct payment type has been set in the Oracle payables system for the payment of the invoices.</p>
</li>
<li>
<p>Undertake ad-hoc investigations / work as requested by the Manager Accounts Payable and Senior Manager Financial Accounting.</p>
</li>
<li>
<p>Handle the daily mail and distribute the documents to the staff concerned.</p>
</li>
<li>
<p>Monitor the Balance Sheet items relating to Suppliers to ensure that balances in the accounts are reasonable and at accepted level.</p>
</li>
<li>
<p>Attend to the queries of staff and explain/clarify any gray areas in order to ensure the smooth running of work.</p>
</li>
<li>
<p>Assist in the month end and year end closing of accounts work.</p>
</li>
<li>
<p>Provide the Manager Accounts Payable/Senior Manager Financial Accounting with necessary information concerning debit balances in supplier s accounts to facilitate the recoveries.</p>
</li>
<li>
<p>Assist in making necessary provisions in the books of accounts concerning debit balances in the supplier s accounts which are doubtful of recovery.</p>
</li>
<li>
<p>Aid the Company s internal and external auditors. Review and comment on audit recommendations concerning accounts payable and ensure that agreed recommendations are implemented.</p>
</li>
<li>
<p>Review Suppliers accounts and age analysis of Suppliers balances and highlight to Manager Accounts Payable/Senior Manager Financial Accounting any abnormalities observed.</p>
</li>
<li>
<p>Close liaison with departments to monitor contracts/rates and to ensure that certifying and approval of invoices are as per the limits of authority.</p>
</li>
<li>
<p>Check the unallocated invoices & prepayment reports & ensure that the invoices are allocated /applied correctly & promptly.</p>
</li>
<li>
<p>Supervise the preparation of the account s reconciliations relating to accounts payable section and ensure the prompt action is taken to clear outstanding items.</p>
</li>
<li>
<p>Continuously update the files relating to suppliers contracts and ensure that invoices received without valid contracts are acted as per the stipulated procedures.</p>
</li>
<li>
<p>Provide guidance and assistance to staff in understanding the finance manuals and interpreting IATA rules/procedures.</p>
</li>
<li>
<p>Ensure that the administrative needs of the staff are investigated, recommend leave applications depending on work contingencies, recommend office material requisitions, rebate applications and likes, evaluate staff progress and productivity, enforce disciplinary measures, and recommend job confirmations, increments and promotions in the deserving cases.</p>

<p>The job holder must function as a back-up super user to control / monitor the operations of the accounts payable system. The main additional jobs / responsibilities involved as a back-up super user are as under:-</p>

<p>Functional Support by the set-up and configuration of the application, and the resolutions of day-to-day problems/issues related to the usage of the system, transaction entry, transaction processing, month-end closing, data extraction (running standard or user-defined reports, or exporting of data), and end-user training.</p>

<p>A super-user is responsible for the following within his/her assigned module:</p>
</li>
<li>
<p>Being the first point of contact for the users to whom system problems/issues are raised, a super-user must explore all possible options for resolving such issues, including consulting manuals or utilizing the Test (CRP1) system for finding the solution. It is expected from super-users to resolve all minor issues, and they should only escalate to the system administration office those issues that are complex, or solutions where there may be a possible risk related to controls, or processes in other modules.</p>

<p>Exercise control over key tables or configurations, e.g. master files or transaction type definitions.</p>
</li>
<li>
<p>Check and reconcile system control accounts against listings/reports on a monthly basis and recommend/process appropriate corrective actions to address discrepancies.</p>

<p><b>Key accountabilities</b>: Handle and assist in the management of physical Currency ( Coins & Banknotes ) including previous and current series. Forecasting: Performing and managing short-term and long-term forecasting models and consistently run back testing on the models to ensure model relevance. Ensure adequacy of physical currency along with required buffers, and timely delivery fulfillment. Analyzing Large Data Sets: Understand behaviors and identify anomalies based on data. End User Demand & Maintaining Trust: Ensuring the currency at hand meets the current demands of different end users whether from general public or institutions equipped with specialized equipment to enable the swift exchange of physical Currency as medium of payment. Current demands may entail using appropriate security features and substrate quality depending on the behavior of wear and tear among other factors. Research & Development: Stay abreast of developments in the physical currency industry and propose relevant findings and developments. Includes development in enhanced security features or the use of enhanced materials. Public Awareness: Assist in educating the public about the Currency varying features including security features. Procuring, Contracting and Management of Contract: Carry out procuring operations from quotation, contract negotiations of terms & conditions, contract signing and managing the contract till fulfillment stage. Lead Time: Monitoring lead times with current suppliers to identify any delays and appropriately escalate. External Asset & Production Register: Maintain up to date registers with strict version control and reconciliation records. Request for Delivering Currency: After obtaining authorization and pre-determined certificates, the person shall initiate and oversee the request and delivery of ready Currency. Payment Management: Ensure organized schedule of payment with appropriate record control. Quality Assurance: Ensure appropriate certifications are obtained to provide assurance on the quality of Currency fitness and whether the Currency are as per contractual terms before circulation and to preserve the Central Bank of Bahrain s rights of recourse. The responsibility also entails to initiate an enquiry with suppliers on any defects that have come to the Central Bank of Bahrain s attention. Risk Management: Staying abreast of global events that might cause supply chain disruptions whether at supplier level or sub-contractor level to properly identify potential risk and escalate with appropriate solutions to manage such risk. Off Site Arrangements & Traveling Abroad: The person responsible shall be willing and able to go to off-site assignments and to travel abroad. This is to ensure appropriate discharge of responsibility pertaining to overseeing production, destruction, delivery processes and training, among other assignments. Managing Museum Portfolio: Assist in managing & safekeeping the portfolio of Currency, commemorative coins & medals and other artefacts classified as museum assets. Curating: Guiding visitors within the museum to enhance their knowledge. Organizing individual or group tours, workshops & events, as well as showcasing museum artefacts at external events. Museum Experience & Docent Notes: Maintaining appealing showcased artefacts and docent notes targeting varying stakeholders based on their length of visit. Museum Ambiance: Maintain the ambiance of the museum by ensuring cleanness, smell, lighting, d cor and space. Conducting daily and monthly reports and checklists. Awareness & Footfall: The person responsible shall increase public s awareness regarding the museum and its artefacts in order to increase the footfall. This also includes improving and making it easy for guests to request visits. Research & Knowledge: Research and be abreast of knowledge regarding the currency artefacts. This also involves identifying and appropriately recommending museum Artefacts to be acquired by the Central Bank of Bahrain to enhance the museum portfolio and showcased artefacts. Reports & Records: Reports shall be maintained regarding museum visitors, giveaways, experience rating and cleaning & maintenance log. While also ensuring safe keeping of guest feedback book. Initiation & Research: Identify opportunities for developing commemorative coins and medals. In case of event specific commemorative coins and medals, proper concept research shall be done while maintaining accurate facts. Design Concept: Formulating strong design concepts of the coin or medal, certificates and packaging. <span><br>POSITION SUMMARY<br>Respond and attend to guest repair requests. Communicate with guests/customers to resolve maintenance issues. Perform preventive maintenance on tools and kitchen and mechanical room equipment, including cleaning and lubrication. Visually inspect tools, equipment, or machines. Carry equipment (e.g., tools, radio). Identify, locate, and operate all shut-off valves for equipment and all utility shut-offs for buildings. Maintain maintenance inventory and requisition parts and supplies as needed. Communicate each day’s activities and problems that occur to the other shifts using approved communication programs and standards. Display basic knowledge or ability to acquire knowledge in the following categories: air conditioning and refrigeration, electrical, mechanical, plumbing, pneumatic/electronic systems and controls, carpentry and finish skills, kitchen equipment, vehicles, energy conservation, and/or general building. Perform all surface preparation, painting, minor drywall and wood trim repair, light bulb and A/C filter replacement and the complete and thorough cleanup of the painting or repair area. Test, troubleshoot and perform basic repair on all types of equipment, plumbing (e.g., plunge toilets and unclog drains), electrical components including lamps, cosmetic items, extension cords, vacuum cleaners, internet devices, replace electrical switches and outlets, and other guestroom items. Program TV's and perform general housekeeping and engineering-related inventory duties. Use the Lockout/Tagout system before performing any maintenance work. Perform repairs on interior and exterior landscaping as well as external landscaping sprinklers. Display basic computer skills including inputting air handler schedules and making temperature changes.<br>Follow all company and safety and security policies and procedures; report any maintenance problems, safety hazards, accidents, or injuries; complete safety training and certifications; and properly store flammable materials. Ensure uniform and personal appearance are clean and professional, maintain confidentiality of proprietary information, and protect company assets. Welcome and acknowledge all guests according to company standards, anticipate and address guests’ service needs, assist individuals with disabilities, and thank guests with genuine appreciation.
