<p>To supervise and execute Inventory Control and Procurement within the Spare Parts Division, ensuring optimum parts availability, efficient inventory levels, timely procurement, and effective supplier management. Spare Parts Procurement</h4><ul><li>Supervise and execute the complete spare-parts ordering process, including order preparation, review, approvals, submission, follow-up, and back-order management.</li><li>Prepare initial, monthly, periodic, and emergency orders based on demand, stock movement, vehicle population, criticality, and supplier lead times.</li><li>Coordinate with relevant departments & Principals regarding new models, accessories & parts requirements.</li><li>Ensure accurate and timely processing of purchase orders in line with approval procedures.</li><li>Prepare monthly and periodic stock orders based on stock movement, vehicle population, parts criticality, workshop requirements, historical demand, and supplier lead times.</li><li>Prepare & coordinate emergency orders based on operational requirements & customer demand.</li><li>Monitor outstanding & back-ordered items & follow up with suppliers to ensure timely delivery.</li><li>Coordinate with the Vehicle Sales Division regarding carpet mats, accessories, and new-model requirements.</li></ul><h4>2. Inventory Control & Optimization</h4><ul><li>Monitor inventory levels and recommend optimum stock quantities based on demand and operational requirements.</li><li>Analyze fast/slow-moving, dead, obsolete, and critical stock and recommend appropriate actions.</li><li>Monitor stock-outs, identify root causes, and implement measures to improve availability and inventory turnover.</li><li>Support stocktaking, reconciliation, and inventory accuracy activities.</li><li>Coordinate with Service centre/Auto Body shop Managers and other users to determine appropriate stock levels.</li><li>Develop recommendations to improve inventory turnover and reduce carrying and ordering costs.</li><li>Monitor excess inventory and recommend appropriate action, including redistribution, alternative utilization, supplier return, or other approved measures.</li></ul><h4>3. Parts Identification & Technical Accuracy</h4><ul><li>Accurately identify part numbers and specifications using approved catalogues, manuals, and dealer systems.</li><li>Verify parts meet application requirements and coordinate with relevant departments or Principals for clarification when required.</li><li>Maintain accurate records of part numbers, ordering information, and related documentation.</li></ul><h4>4. Supplier Management</h4><ul><li>Support supplier selection and performance evaluation in coordination with the Division Manager.</li><li>Monitor supplier quality, availability, pricing, lead times, and delivery performance.</li><li>Follow up on delayed, incomplete, & back-ordered shipments & escalate recurring issues as required.</li><li>Maintain effective communication with Principals, Dealers, and Overseas Distributors to ensure continuity of supply.</li><li>Escalate recurring supplier performance issues and recommend appropriate corrective actions.</li></ul><h4>5. Inventory Accuracy & Systems</h4><ul><li>Coordinate with Stocktaking, Systems & Accounts to verify inventory records against physical stock.</li><li>Investigate discrepancies and recommend corrective actions.</li><li>Ensure accurate inventory master data, transactions, records, and documentation are processed in accordance with established Company procedures.</li><li>Ensure proper filing and maintenance of purchase orders, stock analysis, supplier records, and related documents.</li></ul><h4>6. Reporting & Analysis</h4><ul><li>Prepare regular inventory and procurement reports for management review.</li><li>Provide management with information regarding:<ul><li>Inventory levels and availability.</li><li>Stock-outs and back-orders.</li><li>Fast-moving, slow-moving, and dead-stock items.</li><li>Inventory turnover.</li><li>Purchase orders and outstanding orders.</li><li>Supplier performance.</li><li>Procurement requirements and trends.</li></ul></li><li>Analyze inventory and procurement data and provide recommendations for improving efficiency and cost effectiveness.</li><li>Highlight inventory risks and recommend corrective actions.</li></ul><h4>7. Bin Hindi Internal procedures and policies.</li><li>Participate in relevant training and development programs.</li><li>Perform other duties & responsibilities as assigned by the CAO, Divisional Manager & Job holder.</li><li>Ensure compliance with Company policies, procedures, and internal controls.</li></ul><p><strong>Desired Candidate Profile</strong></p><p>Graduate/Diploma or Bachelor's Degree in Mechanical/Automobile Engineering, Supply Chain Management, Procurement, Business Administration, or a related field.</p><p>Minimum 5 7 years of relevant experience in spare-parts inventory, procurement/a similar supervisory role, preferably within the automotive industry. Experience with automotive spare-parts catalogues, dealer parts systems, or ERP/inventory management systems is highly desirable.</p>
