Main Purpose Of Job
To perform admin and secretarial works and support manager’s responsibilities. The Administrative Secretary will play a pivotal role in managing day-to-day administrative tasks, ensuring efficient operations, and providing excellent support to both staff and clients.
Duties And Responsibilities
Secretarial and Receptionist
- Supporting company day-to-day operations
- Act as the point of contact between the manager and internal/external clients
- Screen and direct phone calls and distribute correspondence
- Handle requests and queries appropriately
- Visas, accommodation, travel arrangements for management’s business travels
- Take dictation and minutes
- Source office supplies and supervision of office maintenance & cleaning services
- Produce reports, presentations, and briefs
- Devise and maintain office filing system
- Perform duties assign by the management and liaising with the staffs
- Greeting and meeting visitors at all levels of seniority
- Support management based on the needs of the business
- Handling the petty cash bookkeeping
Educational, Skills And Experience
Required Education and Experience:
- High school diploma or equivalent; additional qualifications in office administration are a plus.
Qualifications
- Proven experience in a front office or administrative role (minimum 2–3 years preferred).
- Excellent organizational skills with a strong attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong communication and interpersonal skills.
- Ability to multitask, prioritize, and manage time effectively.
Typical Working Conditions
- Normal Working Hours 40 hours a week
- Working Timing may include rotating shift.
- Work may require occasional weekend and/or evening work
