Responsibilities

Our newest opportunity is for a talented Senior Bid Coordinator to develop proposals and presentations, provide valuable input to the bid process, and provide clients with clearly differentiated proposals that demonstrate C-Quest's capability, expertise and value proposition.


The post holder will work closely with Bid Leads and other stakeholders to drive the successful delivery of submissions and presentations.


We envisage success in this role to include:


  • Review RFPs, confirm the bidding team and work with the Bid Lead on the response.
  • Develop the bid plan, including contributing to win themes with the Bid Lead.
  • Coordinate tender queries and clarifications from clients and distribute them to the bid team.
  • Review bid documents and pull together content from previous relevant bids, best practice responses from the bid portal and other systems.
  • Develop, tailor and enhance team CVs in the C-Quest format, presenting their experience and expertise in a compelling and client-focused manner.
  • Develop compelling proposal content, executive summaries, capability statements and case studies to strengthen bid submissions and strategic pursuits.
  • Prepare presentations for post-tender interviews and pitches for strategic pursuits.
  • Arrange Director review and approval of proposals prior to submission.
  • Proofread colleagues' bid response documents for accuracy (spelling, grammar) and relevance.
  • Produce immaculate, bid ready proposals, presentations and documents with exceptional attention to detail and a commitment to the highest quality standards.
  • Ensure on-time delivery of hard copy proposals.
  • Liaise with the team and clients for tender interview logistics.
  • Upload Tender Forms, Contracts and/or NDAs onto the contracts database for review and follow up where required.
  • Work with the Bid Team as a community of practice to ensure a consistent quality of bids.
  • Work in conjunction with the wider Bid Team to ensure the central bid library is kept up to date, bids are filed correctly, and best practice answers and unique questions are added/harvested to the bid portal.
  • Update marketing collateral, including Capability Statements, Case Studies and other business development materials.
  • Search procurement portals regularly for new leads and opportunities.
  • Assist in registering and updating procurement portal subscriptions.

Qualifications

To be successful in this dynamic opportunity, we envisage that you will bring 3-5 years' experience in bid coordination, proposal management or business development within professional services, engineering, construction or consultancy environment.


  • Expertise in MS Office Suite, skilled in Microsoft PowerPoint (required) and a design-based software such as InDesign (preferred).
  • APMP Foundation level certification is advantageous.
  • Proactive, clear and professional communication with internal and external stakeholders at all levels.
  • Ability to contribute to bid/pursuit strategy and influence senior technical and commercial leaders, including challenging/questioning thinking or strategy when necessary to add value to the process.
  • Experience in taking responsibility for managing their work and working with minimal supervision to achieve the outcomes required for the team.
  • Critical thinking skills to consistently develop, manage and deliver high-quality bids and content on time.
  • Strong writing ability in English including:
  • Critically assessing existing content and editing to be more concise and persuasive, harmonising tone of voice and ensuring consistency of language and terminology.
  • Writing original non-technical content for Executive Summaries and other sections where needed.
  • Proofreading skills with a keen eye for accuracy and detail.
  • Strong time management, able to work on multiple submissions simultaneously.
  • Strong stakeholder management skills, with the confidence to challenge stakeholders constructively and influence outcomes.
