ROLE PURPOSE:  

To provide admin support and effective coordination in planning of scheduling and activities in line with the Company policies and procedures.

YOUR TASKS:

  • Day to day admin responsibility of AIMS Management for crew scheduling, crew records & crew route construction enabling the assignment Flying Spanners on Flights.
  • Building of the Maintenance roster in AIMS proactively so that the department can forecast & project manpower requirements.
  • Constructing of crew routes for pairing – this involves the review each flight on AIMs and assigning a crew position for all “ME” (Maintenance Engineers) (typically 3 days per month).
  • Building the flying spanner roster. Each flight needs to be reviewed against the current roster dayshift & nightshift ensuring resources are in place in compliance with the company manning level procedures.
  • Liaise with the Production Manager to ensure that adequate B1 & B2 coverage is available for all departures & downtimes. 
  • Assist Line Managers with coordinating departures and fueling figures when required.
  • The optimization of manpower to ensure that flights are assigned to ensure minimum overtime is incurred to support routine flights.
  • Ensuring that maintenance slots have adequate resources to ensure that work packs are completed in line with the requested manpower levels. 
  • Communication of all flight changes in timings and cancellations to the flying spanner engineer via AIMs notifications and personal messaging.
  • Manage the AMO vacation roster and all leave records ensuring that approved leaves are updated in AIMS.
  • Manage and track OT calls and assignment ensuring distribution of overtime is transparent & fair.
  • Communication of monthly flight schedule and daily flight updates to Third Party Maintenance Support at outstations.
  • Manage annual leave and roster for all contracted engineers ensuring optimization of contracted manning levels.
  • Assist in organizing luncheons, meetings and events as required including staff meetings, party and other events when required.
  • Arrange/assist visa applications required for Flying Spanner duties to new jurisdictions.
  • Any other duties or projects as assigned by the Administration Support Manager & Production Manager.
  • From time to time, assist with vacation cover for the other technical department administrators.

YOUR PROFILE: 

  • At least 2 years of relevant work experience
  • Higher Education Degree or equivalent.
  • Strong Communication skills, both oral and written English
  • Highly motivated to problem solving and attentive to details
  • Knowledgeable with Microsoft Office 365 - preferably with Excel, Word, PowerPoint and Outlook.
  • The ability to draft & produce simple reports.
  • Commitment to delivering high quality services.
  • Proactive, resourceful and can-do multi-task
  • Flexible to working pattern when necessary and able to cope with extremely stressful situations and busy environment
  • Ability to complete tasks in full with objectives delivered
  • Organize with excellent ability to prioritize
  • Able to possess time management skills and meet deadlines
  • Excellent in interpersonal skills at all levels
  • Experience working in a medium size organisation, with at least 15+ staff is an advantage
