We are currently looking for an Admin Assistant/Office Manager with Project Management Background to join our team. The selected candidate will be responsible for organizing and coordinating office operations and procedures to ensure the organizational effectiveness and efficiency while also assisting in planning, executing, and closing projects. The role also involves managing administration, overseeing office supplies, providing support to staff and Management Team
Responsibilities:
Office Operations:
- To oversee and coordinate day-to-day office operations and procedures and Maintain the CEO’s Office function’s policies and strategies, as applicable.
- Welcome guests, visitors and prominent business leaders visiting the CEO’s office
- Maintain a reminder mechanism to properly organizing the scheduled meetings for the CEO.
- Ensure office efficiency and provide efficient logistical and secretarial support to the CEO, as and when required.
- Manage office supply inventory and place orders as necessary.
- Follow up with other Department Managers for collecting their monthly activity reports for review.
- Follow up with the concerned Department Managers for submitting on time the special reports requested by the CEO.
- Act as one of the contact point at the CEO’s office for external parties or visitors.
- Screen the telephone calls coming to the CEO’s Office for ascertaining its urgency before passing it.
Administrative Support
- Provide Administrative support to management and staff as needed, and Coordinate with Department Managers for implementing the decisions taken in the Board of Directors meetings.
- Coordinate meetings for the CEO with Dignitaries, Government Officials, Visitors, National, International business guests, and make travel arrangements as needed.
- Prepare reports, presentations and correspondence.
Project Planning and Execution:
- Define Project scope, goals, and deliverables that support business goals.
- Develop full-scale strategic project plans and associated communication documents.
- Assist in directing and managing project development.
- To coordinate with evolved team members to ensure all project tasks are completed on time, within scope and budget.
Resources & Risk Management:
- Estimate resources and participants needed to achieve project goals.
- Help in Identifying and managing project dependencies and critical path.
- Identify and manage project risks and develop risk mitigation strategies.
Qualifications & Experience:
- Bachelor’s degree in business management or a related field
- PMP certificate or an equivalent is preferred.
- Minimum of 5-10 years’ experience in Office Management/Executive Secretary
- Experience in Project Management or has assisted a Project Manager
- Excellent written and verbal communication skills.
- Problem solving skills.
