Overall Role Purpose

Manage and maintain the government relations day to day activities and provide support to DHL staff in obtaining visas and other legal documents to ensure timely & accurate local affairs activities are carried out in line with DHL policies, procedures and processes, as well as complying with local government regulations.

Your Tasks:

  • Maintain employee records using a well-organized related to filing system to ensure files are up-to- date and compile with legislative requirements.
  • Manage the record system within the Public Relations function both on - line and manual applications to ensure that all documents are kept updated and available at all times.
  • Provide assistance on all other local affairs/admin activities.
  • Responsible for all visa related payments.
  • Liaise with other HR staff to ensure the timely processing of all paperwork to ensure the employee’s smooth relocation to Bahrain.
  • Be the point of contact for staff and provide assistance in all government relations matters
  • Direct point of contact with the Social Insurance Organization (SIO). Register new joining staff / terminate leaving staff in a timely manner.
  • Direct point of contact with Labour Market Authority (LMRA) and responsible for application of all expatriate visas that include and not limited to WP/RP renewals, updates and cancellations
  • Ensure that all appropriate paperwork for visas is completed promptly to achieve minimal processing time.
  • Deal with Ministry of Labour and prepare correspondences in Arabic and English.
  • Translate documents as and when required.
  • Maintain all the electronic folders on the shared drive and updated on a daily basis with Passport copies/ RP/ WP copies etc.
  • Proactively follow up with staff for all necessary paperwork for visas (new, renewal, cancellation) and ensure that all appropriate paperwork for visas is completed promptly and to achieve minimal processing time.
  • Process all necessary documents required to obtain visas, Residence Permits and ID Cards (new, renewal, cancellation, crew visas) in most timely manner.
  • Act as link between the company & various government departments to comply with local regulations.
  • Payment of monthly LMRA fees for both company CRs (B.S.C /W.L.L) and documentation of all expenses.
  • Processing visit visas for all staff family members and direct family only after seeking approval from Senior HR Manager.
  • Assist Senior Management team (Area Office) in obtaining business related visas only and providing Embassy support for the same.
  • Look after processing and managing the workplace accident log sheet and work closely with other DHL departments in collecting necessary paperwork and logging it with the local authorities.
  • Seek approval from Management for staff visit visa application and Residency Permit renewal.
  • Support in processing paperwork on a day-to-day process to ensure accurate and timely submission of financial and legal documents such as credit cards, visas Etc.
  • Other duties and responsibilities as and when required by management.

Your Profile:

  • Must have minimum 5 years’ experience in the government relations/HRfield
  • Fluent in reading, writing and Speaking Arabic / local language
  • Fluent in reading, writing and Speaking English
  • University Diploma as minimum requirement
  • Computer Skills mandatory
  • Experience in dealing with government offices in an official capacity
  • Experience in public relations or government liaison work is desirable
