Job Description

Calendar organization and coordination:


  • Responsible for meticulous General Manager calendar management, including planning meetings, coordinating recurring check-ins and communicating with multiple parties to schedule events
  • Identify, anticipate and prepare information requirements of the General Manager for meetings , appointments, presentations etc and follow up inward and outwards requests for information, outstanding reports.
  • Draft (PowerPoint) presentations with own “creative” input
  • Prepare meeting’s agenda and draft minutes
  • Serve as key liaison between General Manager and key internal and external partners, clients, institutions and other stakeholders, providing excellent customer service (Ministries, AHK, CFCIM, CGEM)
  • Manage internal communication and prioritization, including organizing, filtering email and messaging, flagging and managing action items and tasks

Travel and expense claims management:


  • Manage travel logistics and activities, including accommodations, transportation, and meals
  • Visa processing
  • Manage and process expense claims

Coordination, follow up and delivery of admin tasks:


  • Supervise administrative team members (administrative agents)
  • Coordination and preparation of audit check requirements
  • Meeting rooms management
  • Office supplies purchase for GM department
  • Develop and carry out efficient documentation system
  • Liaise with internal and external collaborators and stakeholders.
  • Manage the compliance trainings follow up process ensuring that they are completed on time.
  • Assist the General Manager in any tasks which require coordination, follow up and information collection.

Event management and organization:


  • Support on main events organization
  • Handle the admin management of events
  • Manage visa processing, hotel, and shuttle arrangements for guests
  • Work in close coordination with members of the team to ensure smooth running of events sessions from start to closure.

Qualifications

EDUCATION


  • University degree preferably in business administration or assistantship

EXPERIENCE


  • 5 years of experience in a multinational company in a similar function.

SKILLS


  • Advanced knowledge on Microsoft Office ( Word, Outlook, Excel and PPT)
  • Fluent English, Arabic. French German is a plus.
  • Ability to handle confidential and sensitive data efficiently.
  • Organized and able to multi-task in a fast paced environment.
  • Ability to work under pressure.
  • Excellent written and verbal communication skills
