We are seeking a highly organized and proactive Secretary to support the Head of Interior Design. The ideal candidate must have strong administrative skills, the ability to coordinate with contractors and subcontractors, excellent client management capabilities, and a professional approach to communication.
Responsibilities:
Perform all secretarial and administrative tasks for the Head of Interior Design, including managing correspondence and maintaining files.
Write formal letters to government ministries, companies, and other organizations as required.
Reply to emails promptly and professionally on behalf of the Head of Interior Design.
Welcome clients to the office, assist them, and ensure a positive experience.
Address and resolve client issues and concerns efficiently and professionally.
Contact clients to follow up on inquiries, appointments, and updates on ongoing projects.
Coordinate with contractors and subcontractors to meet project requirements.
Assist in preparing and organizing project documents, proposals, and reports.
Manage the Head of Interior Design’s calendar, appointments, and travel arrangements.
Act as a point of contact between the Head of Interior Design and external stakeholders.
Ensure efficient communication and follow-up on behalf of the Head of Interior Design.
Requirements:
Proven experience in a similar role, preferably in the interior design or construction industry.
Excellent communication and organizational skills.
Proficiency in MS Office (Word, Excel, PowerPoint).
Ability to manage multiple tasks efficiently and meet deadlines.
Strong problem-solving skills with a client-focused approach.
Experience in contacting and maintaining professional communication with clients.
Knowledge of sourcing and coordinating with contractors and subcontractors is a must.
