Responsibilities
• HR staff reporting to the HR manager.
• Gives support to HR staff in their different work on daily basis. Office work in general (typing, copying, send/receive faxes, filing, calendar of managers.
• Set meetings and meeting room reservations/appointments, purchase orders of HR or under HR staff).
• Give support when needed to other secretaries and coordinators in the company when very busy.
• Responsible of Attendance of the staff on daily, weekly and monthly basis.
• Basic support and day to day coordination between the factory and the office
• Responsible of everything related to travel, visas, tickets & hotel reservation is under her.
• Supports managers who do not have secretaries or assistants when asked
• Provide reception/assistance to all callers/visitors
• Provide office and clerical support to all Department staff
• Arrange courier and co-ordinate meetings
• Responsible for answering phone lines, incoming and outgoing mail
• Take dictation in shorthand, types reports, memorandums, and other types of correspondence and distribute them as advised
• Maintain and organize filing and follow-up systems for all correspondence
• Arrange appointments and meetings; take minutes and maintain agenda notes
Skills
• Minimum 3 years' experience in same field.
• Fluency in English is a MUST.
• Telephoning, typing, planning and organizing skills.
• Prioritizations, coordination.
• Communication at every level and service orientation skills
• Quality orientation
• Active listening
• Excellent written and spoken English preferably Arabic speakers
• Oral and written expression
